The Aquatic Connection, LLC
Including The Aquatic Training Academy and Teach America To Swim
LAST UPDATED NOVEMBER 2026
PHOTO AND VIDEO POLICY
At The Aquatic Connection, we enjoy sharing participants’ experiences and accomplishments in our aquatic education and training programs. Photographs and videos help us highlight our programs, share educational information, and help families and organizations better understand what we offer. We also understand the importance of respecting each participant’s privacy and their family’s preferences.
This policy explains how we collect and use photographs and videos, how you can give or decline permission, and how to update your preferences.
1. WHO THIS POLICY APPLIES TO.
This policy applies to participants enrolled in programs offered by The Aquatic Connection, LLC, including:
- The Aquatic Training Academy (ATA): Aquatic professional training, certification courses, and related educational programs.
- Teach America To Swim (TATS): Swimming lessons, water safety education, and related programs.
For participants under 18, a parent or legal guardian must provide photo and video permission.
2. HOW WE USE PHOTOS AND VIDEOS
During our programs, authorized TAC representatives may take photographs or record videos of participants and program activities. When permission has been granted, these images may be used for educational, informational, and marketing purposes, including:
- Our company websites and program pages
- Our official social media accounts
- Email newsletters and program communications
- Digital advertisements and promotional campaigns
- Printed brochures, flyers, posters, and other marketing materials
- Educational presentations and promotional videos
Photographs and videos may be cropped, resized, or edited for clarity and presentation. We will not intentionally alter images in ways that misrepresent participants or their experiences.
We do not authorize unrelated third parties to independently use participant images under this policy. Any use outside the scope described above requires separate authorization.
3. YOUR CHOICE: GIVING OR DECLINING PERMISSION
Participation in our programs does not require you to grant photo or video permission. You may choose to give or decline permission during registration.
Depending on the program, we may collect your preference through our online registration system or a separate policy waiver.
Online Registration Form Through Our Registration System
For programs using our online registration system, participants or their parents or legal guardians are asked to enter their photo and video permission preference in the designated Photo Release field. Please enter one of the following responses:
- YES: I give permission. I authorize The Aquatic Connection, LLC, including The Aquatic Training Academy and Teach America To Swim, to photograph or record me or my child during program activities and use those images for the purposes described in this policy.
- NO: I do not give permission. I do not authorize The Aquatic Connection, LLC, including The Aquatic Training Academy and Teach America To Swim, to photograph or record me or my child for the purposes described in this policy.
Group Programming Using a Policy Waiver
Some programs require participants to complete a separate liability and policy waiver. When the waiver includes a Photo and Video Release section, participants or their parents or legal guardians may provide their preference by selecting the applicable YES or NO option.
If No Permission Is Recorded
We will not interpret acknowledgment of this policy as permission to use a participant’s image. If the Photo Release field is blank, the response is unclear, or no affirmative permission has been recorded, we will treat permission as not granted.
Declining photo and video permission will not affect eligibility to participate in our programs.
4. PROTECTING PARTICIPANT PRIVACY
We take reasonable steps to respect participant privacy when taking and sharing photographs or videos.
Permission to use an image does not automatically authorize us to publish a participant’s full name or personal information.
We will not publicly identify a minor by full name without separate, documented permission from their parent or legal guardian.
We do not publish confidential registration information, medical information, or other private participant records through our photo and video marketing.
If a participant who has not granted permission appears in a photograph or video, we will not publish an identifiable image of that participant unless permission is obtained or the participant is effectively removed or de-identified.
5. CHANGING OR WITHDRAWING PERMISSION
We understand that preferences may change. Participants and parents or legal guardians may contact The Aquatic Connection to request an update to their photo and video permission. To make a request, please contact us at: Support@TheAquaticConnection.com.
Please include the participant’s name and the program or location so we can identify the appropriate registration record. We may need to verify that the request comes from the participant or their parent or legal guardian.
Once we receive and verify a request, we will update the participant’s permission record and apply the updated preference to future photography, recording, publication, and reuse of identifiable images under our control.
If permission is withdrawn, we will make reasonable efforts to discontinue further use of affected images and remove them from TAC-controlled digital materials where practicable. Please understand that we may not be able to retrieve photographs or videos that have already been printed, distributed, downloaded, shared by others, or otherwise placed outside our control.
6. PHOTOGRAPHY DURING PROGRAMS
Our instructors and authorized representatives will take reasonable steps to respect recorded photo and video preferences.
When participants have declined permission, we will avoid capturing identifiable images of those participants for educational or marketing publication.
We cannot guarantee that participants will never appear incidentally in photographs or videos taken by other attendees or unrelated third parties. Photography or recording by those individuals is not authorized or controlled by this policy.
7. STORAGE AND USE OF IMAGES
We maintain photographs, videos, and related permission records through our approved business systems. Access is limited to authorized TAC personnel and service providers who need the information for legitimate business purposes.
Before using identifiable participant images in marketing materials, we verify that the recorded permission covers the intended use. Images and related records are retained only as long as reasonably needed for authorized purposes and applicable recordkeeping requirements.
For more information about how we handle personal information, please review our Privacy Policy.
8. TESTIMONIALS AND PARTICIPANT FEEDBACK
This Photo and Video Release Policy applies specifically to photographs and videos.
We manage participant testimonials, survey responses, reviews, and other written or recorded feedback separately.
Permission to use a participant’s photograph or video does not automatically authorize us to publish their testimonial or identify them in connection with feedback.
9. POLICY ACKNOWLEDGEMENT
By completing the applicable registration form or liability waiver, participants or their parents or legal guardians acknowledge that they have received or had access to this policy.
Acknowledgment alone does not grant permission for photographs or videos to be taken and used.
Photo and video permission is determined by the participant’s documented affirmative consent through the applicable registration process.
10. CHANGES TO THESE TERMS AND CONDITIONS.
We reserve the right, at our sole discretion, to change, modify, or otherwise alter these Terms and Conditions at any time, and you acknowledge and agree that the burden is solely yours to routinely check these Terms and Conditions for updates. Such changes will be in effect immediately after being posted on this page. You acknowledge and agree that your continued use of this website after we post any modifications to these Terms and Conditions will establish your acknowledgment of the modifications and your consent to them, whether or not you have read them. We will notify you of any changes by posting them on this page. Please review these Terms and Conditions periodically to keep informed of their terms.
